Templates, bulk send and your own certificate
Reuse a document you send often, send it to many people at once and sign with a certificate of your own.
Make and use a template
- Open Document Studio, go to Templates and select New template. Only owners and admins can make, edit and delete templates.
- Name each role, such as Client or Manager, then place the fields each role fills on the document.
- Save it. A template keeps the roles and where each role signs, not the people.
- To use it, start a new request, choose the template and give the name and email address for each role.
Send to many people
- Open Bulk send and choose a template.
- Paste one row for each request, or choose a CSV file: a title, then a name and an email address for each role. You can send up to 100 rows at once.
- Check the preview. A row needs a title, and a name and a valid email address for every role.
- Select Send the requests. Each row becomes its own request, with its own copy of the document.
Sign with your own certificate
- Open My certificates and add a certificate file (.p12 or .pfx) from your certificate provider. Only you can use it.
- Choose a library document and select Sign a document, then type the certificate password. It is asked each time and never stored.
- A signed copy is saved to your library as a new private document. The original does not change.
Limits by plan
- Templates kept: 1 on Free, 25 on Pro, 250 on Team and no limit on Business.
- Each request sent counts as one signature request: 2 a month on Free, 50 on Pro, 300 on Team and 1,500 on Business. A bulk send that would pass what is left sends nothing.
- Signing with your own certificate is part of Pro and above. The PDF Loft seal that completes a request is separate: it is never a signer's signature.
If something goes wrong
- A template cannot be saved until it has a name and every role has a name.
- A certificate is refused when it is expired, not valid yet, larger than 40 kB, not a PKCS#12 file or has a key that is not RSA.
